What turnaround times can I expect?

Our turnaround time for most reports is 24 hours.   Turnaround times may vary more or less depending on client needs.  

 

What if my customer dictates over the weekend?

Weekend work is generally delivered on Monday morning before 9:00 am.  If a specific need arises for weekend delivery, arrangements can easily be made as per client's specifications.

 

What are the payment methods and how often does Linco Transcription invoice?

Invoices are sent  on the 1st and 15th of each month, with payment Net 14 days.  However, we are willing to accommodate and customize our billing practices to suit your needs.  Payment can be by check, bank draft, or wire transfer.

 

How is the dictation processed?

All dictated files are transferred via Linco Transcription's secured FTP site.  The transcribed work will be returned  through the secured FTP site.  Files may also be transferred via computer modem using pcAnywhere or by secure e-mail.   US Mail, FedEx, UPS and DHL delivery options are also available. 

 

How is security ensured during transmission?

Secure socket layer encryption (SSL) ensures all communication between your server and our server is protected by 128-bit encryption prior to transfer. Thus, electronic medical records are accessible only by those with security clearance.

 

How does Linco Transcription maintain security and privacy of patient information? Are you HIPAA compliant?

We maintain administrative controls such as systems certifications, chain of trust partner agreements, contingency plans, formal record processing mechanisms, internal audits, information access controls, personnel security, security incident procedures, security management processes, termination procedures, and awareness training programs.

All transcriptionists and supporting staff sign non-disclosure and confidentiality agreements before employment; the agreements are in effect for two years following departure.

Data confidentiality and integrity are ensured by access control, audit control, authorization control, data authentication, and entity authentication.

We maintain compliance with all current HIPAA regulations.

 

Does Linco Transcription follow a particular format?

Each client will establish their own specific formatting requirements and formats.  

 

Can Linco Transcription design templates?

Yes, Linco Transcription will create templates utilizing Microsoft Word or WordPerfect, depending on client preference.

 

How long does Linco Transcription archive transcriptions? What charges are involved?

We keep all transcribed reports  for a minimum of two years.   Longer retention is available on request. There is no charge associated with archives.

 

What is Linco Transcription's quality assurance policy?

Providing our clients with accurate transcriptions is our primary goal.  All transcribed documents are checked by quality analysts, editors, and proofreaders for errors, omissions, and formatting to ensure utmost accuracy.

 

What word processing software does Linco Transcription use?

We use either Microsoft Word or WordPerfect to transcribe the dictations. However, we are open to utilizing other word processing software compatible with your software.

 

Which recording and handheld systems do Linco Transcription support?

We can support all dictation systems and handheld recorders.

 

What backup provisions has Linco Transcription made?

Our servers are built with fault tolerance mirrored drives.  Our dication system is state-of-the art with redundant drive system in case of failure.  All files are backed up on a daily basis to our secure off-site location in case of primary system failure.

 

What cost savings can I expect by using Linco Transcription?

Due to our vast resources, we can save our clients considerable cost savings as well as improved turnaround time.  Our average customer cost, depending on specific needs, is between $0.03 and $0.09 per line, depending on customer needs and turnaround times.

 

What are Linco Transcription's customer service hours?

Our normal business hours are from 7:00 am until 5:00 pm.  There is a supervisor on call 24 hours a day, 7 days a week, to handle any emergencies that may arise.
